AI Use Policy

1. Purpose

I use limited AI tools to support parts of my work where they can save time or help me review information more efficiently. This policy explains how I use AI responsibly, where I draw firm boundaries, and how I protect my clients, their data, and the integrity of my creative work.

2. What I will use AI for 

I only use AI for low risk, supportive tasks that do not involve client data or final decision making, such as: 

Brainstorming ideas and prompts 

Creating rough drafts or outlines for text 

Summarising publicly available information 

Proofreading for clarity and structure 

Admin and workflow support, such as task lists or planning aids 

Reviewing large amounts of non confidential information to spot patterns or issues 

3. What I will NOT use AI for 

I do not use AI in ways that could compromise trust, privacy, or professional judgement. I will never: 

Upload client data of any kind 

Upload any information relating to clients’ children

Upload the names or operational details of my business or any companies I work with Upload a likeness or image of any person without clear permission 

Rely on AI to finalise pricing or financial decisions

Upload invoices or contracts in a non redacted form 

Use policies or other organisational documents that have been created purely with AI 

Deliver AI generated output to clients without my own review and revision 

4. Data and privacy 

Client privacy is non negotiable. I keep all identifiable client information out of AI tools. Where I use AI to think through a problem, I remove or anonymise any details that could link back to a real person, location, or job. I avoid uploading files wherever possible and do not store client related information in AI chat histories. I treat AI tools as public spaces, not private work systems. 

5. Human review 

AI can be inaccurate or misleading. I personally check and take responsibility for all final work. I always review: 

Facts, names, dates, and locations 

Prices, numbers, and calculations 

Legal, contractual, or financial wording 

Client facing communications 

I remain fully responsible for all decisions, advice, and work delivered to clients. 

6. Image editing and AI 

AI assisted editing tools may be used in a limited way as part of my workflow, for example to support efficiency in culling, basic adjustments, or consistency checks. I keep AI based editing minimal and use it only where it supports, rather than replaces, my own judgement and style. Every image is personally reviewed and checked by me before delivery to ensure it meets my professional standards. 

7. Transparency with clients

I may mention the use of AI where it is relevant to how work is produced or reviewed. I am happy to explain my approach if a client asks. AI is a support tool only and does not replace my professional judgement or creative work. 

8. Review and updates 

AI tools and standards are changing quickly. I will review this policy regularly and update it as my business, the technology, and client expectations evolve.
